Business Operations Specialist - Governance & Finance (m/f/d)

Your mission
In this role you will support us in establishing structure and transparency across core operational processes. You will work at the intersection of Finance, Data Protection and AI-related-topics, ensuring that cost, contracts and internal policies are consistently implemented and adhered to in day-to-day operations. You will gradually take on increasing responsibility, collaborate closely with experienced colleagues and external experts and develop with us into a central Business Operations role.
In addition you will be responsible for the following tasks:
Governance, Data Protection & AI:
Reviewing contracts for formal completeness (e.g. data processing agreements, data protection annexes)
Tracking and monitoring data protection-related requirements in collaboration with Data Protection and Legal experts
Supporting the implementation and compliance of internal AI guidelines and governance processes
Assisting in applications, approvals, and coordination related to governance topics (e.g. data protection, AI)
Maintaining registers, overviews, and documentation related to governance topics
Supporting the translation of internal policies into practical, day-to-day operational processes
Assisting in ensuring the traceability, documentation, and audit readiness of relevant materials
Finance & Operations:
Supporting operational cost controlling (e.g. budget overviews, planned vs. actual comparisons)
Reviewing and pre-booking invoices, including account and cost center allocation
Coordinating with Accounting, Controlling, and Project Owners
Monitoring time and service records and reconciling them with invoices
Supporting a smooth invoice review and approval process
Maintaining central overviews of contracts, tools, costs, terms, and cancellation periods
Identifying and escalating cost deviations or inconsistencies
What we need from you
We are searching for a motivated candidate with the following qualifications:
Initial to several years of experience in Business Operations, Finance Operations, Procurement, or a comparable role
Strong interest in governance, data protection, and AI-related topics
Basic understanding of invoice verification, cost structures, and commercial processes
Confident working with Excel or comparable spreadsheet tools

Structured, detail-oriented, and reliable way of working
Motivation to take ownership and continuously develop professionally
Strong communication skills in German & English (C1 or better) and enjoyment of working with various stakeholders
